E-Mail Retention

Electronic mail (e-mail) is here defined as any message sent or received through or stored on the district's e-mail server. Such e-mail may include, but is not limited to, correspondence and attachments, calendar schedules, and forms transmitted electronically.

1. Originators and recipients of e-mail are responsible for identifying and saving documents that must be retained in order to comply with Federal, State, or local laws, district policies or directives, or for other reasons.

2. The district will retain electronic mail and attachments in inboxes, folders, and outboxes on the e-mail server for 60 days after e-mails have been received or sent.

3. Individuals have the responsibility for saving copies of e-mail and attachments recognized to be district records before the 60 day period expires by transferring them to other electronic environments and media, (i.e., external drive, CD, flashdrive) and by copying them on paper.

4. All electronic mail and attachments are backed up on external storage for a total of 365 days, e-mail backups older than 365 days, will be automatically and permanently deleted. Retrieval of e-mails from backups will only be available in the following cases: approval by the Superintendent or via a court order.
