Use Of School Facilities

Aromas-San Juan Unified School District


1. A representative of the organization must complete the application form. The representative must sign the form, giving his/her address and phone number. This form must be returned to the school office for approval by the principal before the event can be scheduled.

2. All user groups (I, II, & III) shall provide a Certificate of Insurance showing that they are properly insured for their own negligent acts. Depending on the nature of the activity and the risk involved, user groups may be requested to prove an "additional named insured" endorsement naming the school district. Users of district facilities shall furnish such liability or other insurance for the protection of the public and the school district as the Chief Fiscal Officer may require.

3. The use of district facilities by all user groups shall be conditioned upon the user agreeing to hold the district, its Board of Trustees of trustees, the individual members thereof, and all district officers, agents, and employees free and harmless from any loss, damage, liability, cost, or expense that may arise out of or be caused in any way by such use or occupancy of school property.

4. The individual signing the Application and Permit for Use of District Facilities shall, as a condition of use, agree to be held financially responsible in the cause of loss or damage to district property. A $250 refundable security deposit will be required.

5. Groups using district facilities shall be responsible for the condition in which they leave the facilities. Any excessive trash and abuse or misuse of facilities, including playing fields, shall be reported immediately to the Chief Fiscal Officer. A charge for damage or loss of district property will be established. Failure to pay full amount immediately for damage shall be grounds for denial of future facility requests. Any organization causing damage to or vandalism of school facilities will not be allowed to use the facilities again.

6.Cancellation or denial of facility use may be made at the school's discretion.

7. All applications shall be made at least 30 days in advance of the first date of use being requested. Late applications may be denied.

8. All charges for the use of district facilities are payable 48 hours in advance.

9. Keys required to carry out any and all activities shall remain in the possession of authorized School District employees. Keys shall not be turned over to individuals, organizations, clubs, associations, etc. Buildings will be opened and closed by an authorized employee of the District.

10.A custodian fee will not be charged for periods of use when a custodian is regularly on duty. An overtime rate fee will be charged on weekends, holiday breaks, and summer evenings for the cost of a school employee to open and close the facility.

11.No smoking, flammable substances/objects, alcoholic beverages, intoxicant/

controlled substance in any form, gambling, fights or firearms are allowed on school property. Any person under the influence of intoxicating liquors or substances shall be denied participation in any activity. Violation of this regulation shall be justification for immediate termination of the event, closing of the facility, and denial of future use requests.

12. No food, drinks, or gum are allowed in the gymnasium, and no street shoes are allowed on the gymnasium floor unless approved. An adult must be stationed at each door to this facility to ensure that these rules are followed.

13. The use of district facilities shall not be granted to individuals or unrecognized groups for personal or private functions.

14. School premises will not be available during hours that will interfere with the regular functions of the school. School activities and sporting events have priority over any other use of facilities.

15. Security personnel are required for activities involving dancing and/or more than 100 people.

16. Using organizations shall be responsible for the control and supervision of all persons in attendance during the use of district facilities. The district shall require security personnel as a condition of use whenever it is deemed to be in the District's best interests.
