Temporary Athletic Team Coaches

Although extra-curricular coaching assignments are for the season or sport and must be renewed by the Board of Trustees upon recommendation by the Superintendent annually via the personnel report; a vacancy occurs when either the principal or designee or the coach chooses to terminate the services. The principal or designee shall be responsible for the yearly evaluation of all employees fulfilling coaching assignments and the end of the season or sport.

It shall be the responsibility of the principal or designee, working with the human resources office, to notify employees who are not recommended for re-employment. Employees not recommended to remain in the extra-curricular coaching assignment shall be advised in writing as soon as possible after the conclusion of the season or sport.

In the event of extenuating circumstances, the principal or designee may release an employee from an extra-curricular coaching assignment at any time during the season or sport.

When a vacancy occurs for a varsity head coaching assignment, the following procedures shall be followed:

1. The principal or designee of the school involved will notify in writing to the human resources office of the coaching vacancy.

2. The District will determine the selection criteria prior to advertising each athletic coaching position

3. After the coaching position closes, the District will determine if in-district applicants meet the criteria. If one current certificated employee meets the criteria, that employee will be selected to fill the position

4. If more than one current certificated employee meets the criteria; those employees will be interviewed by a panel composed of the site principal or designee, a representative from the human resources office, and any other individual qualified to evaluate qualifications

5. If the District determines that an applicant who is a certificated employee does not meet the selection criteria, the school site principal will meet with him/her to provide an explanation of the criteria that were not met.

6. If no certificated employees apply, or if none meet the selected criteria, the interview panel will convene to interview the screened outside applicants.

7. When any coaching position includes a teaching position, and outside applicants are interviewed, the department chair(s) will be invited to participate in subject related interview questions.

8. Noncredentialed coaches must meet the qualifications outlined in Board Policy 4127.

9. Prior to employment, the noncredentialed coach must be fingerprinted in accordance with Education Code 45125 or hold an Activity Supervisor Clearance Certificate issued by the Commission on Teacher Credentialing, and meet all other requirements outlined by the district's human resources office.

When a vacancy occurs for an assistant coaching or lower level (Frosh or JV) head coaching assignment, the following procedures shall be followed:

1. The principal or designee of the school involved will notify in writing to the human resources office of the coaching vacancy.

2. The principal or designee will consult with the head varsity coach of that sport to determine if they have a qualified person identified to fill the vacancy.

a. If the varsity head coach recommends a person to fill the vacancy, the principal or designee will meet with the person to determine if they meet minimum qualifications for temporary athletic team coaches.

i. If the principal or designee determine the recommended person meets minimum qualifications they will notify the human resources office in writing of this information and approve for the person to go through the hiring process. The person will only be allowed to begin in the assistant coaching position when they are cleared by the human resources office.

b. If the varsity head coach does not recommend a person to fill the vacancy or if the person recommended does not meet minimum qualifications the principal or designee will notify in writing the human resources office of the coaching vacancy so the recruitment efforts can be initiated.

i. The same procedures for a varsity head coaching assignment will be followed when the vacancy is advertised by human resources.

A coach must be cleared through the human resources office before they can participate in any activities including but not limited to practices. Further, a coach will only be compensated on a pro-rated basis if they are not qualified and cleared by the human resources office for the entire duration of the season/sport.
