RULES AND POLICIES GOVERNING SPECIAL TRIPS

Requests for special trips should be made at least five days prior to the time of the event. If Governing Board approval is required, the request must be submitted four weeks before the activity occurs. The approval of the department chairperson, the principal and the Superintendent are required.

Personnel, Certificated and Classified Personnel

1. Travel, Activities

a. The district encourages the participation of employees in job-related activities whose purpose support the improvement of the educational program of the district. The Board supports the employees' participation by the granting of leave, paying certain expenses and providing transportation within the limitation of budget provisions. Travel out of state will not be authorized under this policy.

Reasonable transportation cost shall be paid by the district for travel involving district business. Transportation reimbursement shall be at the most economical rate and mode. Travel outside of the district shall have prior approval of the Superintendent or designee.

b. Authority

The Superintendent or designee may authorize conference attendance. The Superintendent may direct specific personnel to represent the district in a variety of activities specifically outlined in this policy and the administrative role.

c. Professional Activities

Acceptance of nomination or appointment to county, state or national offices in school-connected organizations involving district time and expenses by staff members must have prior approval by the Superintendent with a report to the Board.

2. Travel Reimbursement

a. It shall be the policy of the Board to reimburse employees and officials of the district for actual and necessary expenses incurred while using private vehicles, or attending authorized meetings or conference.

b. The Superintendent of Schools shall develop appropriate regulations implementing this policy. These regulations shall be reported to the Board.

3. Field Trips and Excursions

Educational field trips up to a distance of 120 miles from school may be conducted by the district upon approval of the Superintendent. Transportation shall be provided by the district. Written personnel consent granting student participation in a field trip shall be required for a trip extending beyond 10 miles from school and/or where a student is required to be absent from another instructor's class. Any proposed trip of more than 120 miles one way shall have the Superintendent's recommendation and be approved by the Board. A certificated staff member shall accompany and be in charge of any student group for whom transportation is provided.
